Set up room rentals and party bookings

Rent out rooms and equipment, take deposits and enquiries, and quote party packages with extra time and add-ons.

8 min readLast reviewed

Quick answer

Owners and admins can rent out rooms and equipment and sell party packages. Room and equipment rentals can be booked online within the hours you set, and room rentals can start as an enquiry instead. Party bookings start with a quote from your team. Customers review and accept the terms, then pay through your Stripe account.

Before you begin

  • Use an owner or admin account and add rooms to a location first.

  • Connect Stripe so renters can pay deposits, balances and security deposits online.

  • Decide prices, deposit, balance deadline and cancellation terms, plus any party add-ons and guest waiver.

You'll know it worked when

  • A public room rental appears on the booking page's Rentals tab with the right durations and prices.

  • A test booking shows the deposit, balance due date and cancellation terms before payment.

  • A party quote shows an itemised price and the customer can accept and pay from Open customer booking.

Open rental and party offerings

Create a room rental

  1. 1

Open Rentals and parties, choose Manage offerings and stay on Room rentals. Add a room to a location first if you have none.

  2. 2

Choose Add room rental, name it and select every room included in the price. All selected rooms must be free together, and capacity is their combined capacity up to your maximum people.

  3. 3

Choose the booking method: Online booking within opening hours, or Enquiry, then a staff-approved quote.

  4. 4

Add durations and prices, opening hours, booking limits, and setup and clear-up buffers.

  5. 5

Choose the payment schedule: Full payment when booking, or a deposit percentage with the balance due a number of days before the rental.

  6. 6

Set the cancellation policy, tick Show on the public rentals page and Active offering, then save.

Deposits, enquiries and cancellation

With a deposit, the deposit reserves the rooms and Junocal emails the renter a payment link when the balance is due. Bookings made after the balance deadline, or where either payment would be below the online payment minimum, are paid in full upfront.

Enquiries don't reserve a room or take payment. If your booking page has a lead form, enquiries arrive in Leads; otherwise renters see a link to email you. Confirm the time with them and prepare a quote.

The cancellation policy sets the notice in hours and the refund before and after that deadline. For a room rental you can also keep a non-refundable part of the price, including when the renter pays in full.

To give studio credit instead of a late refund, set Late cancellation credit validity to between 1 and 36 months and set Refund after deadline to 0%. Junocal issues the credit automatically as a studio credit gift card, and the renter sees its amount, code and expiry on their booking. Only an owner or admin can void a credit, with a reason.

Quote a party

  1. 1

In Manage offerings, open Party packages and add a package: base price, included guests, price per extra guest, maximum guests, duration, deposit and balance timing, rooms and whether an instructor is required.

  2. 2

Under Extra time and add-ons, allow extra time in set blocks with a price, and add optional extras charged per participating guest or once per party.

  3. 3

Add a guest waiver or choose an intake form so each guest signs before the party.

  4. 4

To book, open Rentals and parties and choose New reservation. Pick the customer, package, date, guests, instructor, extra time and add-ons, check the estimate and create the quote.

  5. 5

Junocal doesn't email a new quote. Choose Open customer booking and send the customer that page's link, which works for 7 days. They accept the terms and pay there.

Run the booking

  • Customers add their party guests on their booking page. Each guest, or a parent or guardian, signs their own waiver.

  • To change the guest count, propose a revised quote. The customer must accept it before the price changes; quoted rates stay the same.

  • Move booking changes a room rental's agreed time after you have agreed it with the customer. Room conflicts and buffers are checked.

  • Customers can cancel from their booking page. When you cancel, the accepted policy applies unless an owner or admin enters a refund override.

  • For equipment rentals, check equipment out, record its return and settle the refundable security deposit. Junocal emails the renter if a return is overdue.

  • Use Manage closures to block rooms or equipment. Move or cancel conflicting reservations first.

  • Mark booking complete once payments are settled, equipment is returned and every guest has a signed waiver.

Troubleshooting

Start with the symptom that matches what you can see. Check the existing record before repeating a booking, payment or import.

A rental doesn't appear on the booking page

Check these first

  • Check Active offering and Show on the public rentals page.

  • Check opening hours, booking limits and the booking method.

Next step: Turn on the offering and public listing, set at least one open day, then preview the Rentals tab. Enquiry rentals show a request form instead of times.

A time is unavailable for a room rental

Check these first

  • Check classes, appointments, other rentals and closures in every selected room.

  • Check buffers, minimum notice and the book-ahead limit.

Next step: Choose another time, remove a room from the offering or move the conflicting booking. All selected rooms must be free together.

The renter was asked to pay in full instead of a deposit

Check these first

  • Check whether the booking falls after the balance deadline.

  • Check whether either payment would be below the online payment minimum.

Next step: This is expected. Late bookings and very small splits are paid in full upfront under the accepted terms.

A late cancellation gave credit instead of a refund

Check these first

  • Check the accepted quote's cancellation terms and credit validity.

  • Look for the studio credit on the booking and in Gift cards.

Next step: With credit validity set, late cancellations become studio credit by design. An owner or admin can enter a refund override when cancelling if an exception is justified.

Answers before you get stuck

Can customers book a party online?

No. Party bookings start with a quote your team prepares in Rentals and parties. Room and equipment rentals can be booked online, and a room rental can be set to take enquiries first.

Can a renter pay with a gift card?

Not for rentals or parties, which are paid through Stripe checkout. A cancellation credit works like a gift card: the client can use it for classes, appointments and packs online where you take gift cards, or staff record a use at the desk.

Do changes to an offering affect existing quotes?

No. Quotes keep the prices, payment schedule and cancellation terms the customer accepted. A revised guest count keeps the quoted rates.
