Open the exact product area, then keep this guide beside it.
Open the lists
- 1
Open Clients and choose the Follow-up lists tab.
- 2
Check each list's count and the rule written under its name.
- 3
Open a list. Each client shows the detail that put them there, such as the date they signed up.
What each list shows
Came once, not back: one visit in the last 30 days and nothing booked since.
Signed up, never booked: added in the last 90 days with no class, appointment or course booked. Imported booking history counts as booked.
Pack low or expired: one visit or credit left, expiring within 14 days, or run out in the last 30 days.
Not seen in N days: visited in the past year, not in the last N days, and nothing booked. N is your Win-back Days without a visit setting, 21 by default.
Waiting, never booked: on a waitlist but has never booked a class or course.
Birthdays this week: birthdays today and over the next six days, for clients with a birthday saved.
Act from a row
Choose Message to write to the client in Messages. From the row menu you can copy their email, book them into a class or sell a pack.
Lists update as clients book and visit, so there is nothing to clear by hand. Front desk can use every list; the lists show visits and bookings, never prices or revenue.
Troubleshooting
Start with the symptom that matches what you can see. Check the existing record before repeating a booking, payment or import.
A list is empty but you expected clients on it
Check these first
Read the rule under the list name and compare it with the client's visits and bookings.
Check whether the client has an upcoming booking, which takes them off most lists.
Next step: The lists follow their rules exactly. Open the client's profile to see their visits and bookings, and use All clients with Filters for other searches.
Not seen uses a different number of days than expected
Check these first
Open Automations and check Win-back's Days without a visit.
Check whether that setting changed recently.
Next step: Not seen follows the Win-back Days without a visit setting. Change it there, then reopen the list to see the new count.
The Follow-up lists tab shows an upgrade prompt
Check these first
Check the studio's plan.
Check that you are signed in to the right studio.
Next step: Follow-up lists are included with Studio and Growth. The owner can change the plan in Billing; front desk can ask the owner.
Answers before you get stuck
Why is a regular client on Not seen?
They visited in the past year but not within your Win-back days, and have nothing booked. Change Days without a visit under Automations → Win-back to change the window.
Are follow-up lists on every plan?
No. They are included with Studio and Growth. On Free and Starter the tab shows an upgrade prompt.
