Set up booking reminders

See which reminders clients and teachers get before classes, course sessions and appointments, and choose which ones Junocal sends.

8 min readLast reviewed

Quick answer

Junocal reminds clients a day, 2 hours and 30 minutes before every class, course session and appointment. Appointments can also get a reminder before free cancellation ends, and the person teaching gets their own reminders. Owners and admins choose which ones go out in Automations.

Before you begin

  • Use an owner or admin account to change Automations.

  • Give each in-person location a street address or postcode in Locations so emails can include directions.

  • Attach a cancellation policy so appointment emails show the right free cancellation deadline.

You'll know it worked when

  • Automations shows each reminder switch in the state you chose.

  • A test booking receives the day-before and starting-soon emails at the expected times.

  • Online clients see a working joining link and in-person clients see directions.

What clients and teachers receive

  • A day before: clients get the date, time and where to go or how to join.

  • 2 hours and 30 minutes before: a starting-soon reminder. Online clients get the joining link. In-person clients get a Get directions link when the venue has a street address or postcode.

  • Appointments only: a reminder a day before free cancellation ends, so clients can still cancel or reschedule without a fee.

  • Course sessions: each enrolled client gets the same three reminders for every session they are expected at, with links to their forms and calendar.

  • The person teaching gets a reminder a day before, 2 hours before and 30 minutes before. An appointment slot with nobody booked sends no teacher reminder.

Choose which reminders go out

  1. 1

Open Automations. Owners and admins can change these settings.

  2. 2

Under Booking messages, switch Before free cancellation ends, Day-before reminder and Starting-soon reminder on or off. Each one is on by default.

  3. 3

Choose Edit email under a reminder to change its subject, opening and closing lines. Dates, joining links, directions and booking details are added for you.

  4. 4

    Choose Save changes.

What appointment emails include

Appointment confirmations, reminders and reschedule emails say who the appointment is with, when free cancellation ends and any late-cancellation or no-show fee from your cancellation policy. They also show a phone number for the venue or studio, the visit number for repeat bookings, such as Visit 2 of 6, and any balance still to pay.

The practitioner gets an email when a client cancels their own appointment.

Check that reminders arrive

Reminders follow the booking's current time. When a session moves or a client reschedules, the reminders follow the new time. Cancelled bookings get no further reminders.

If a reminder still fails after automatic retries, it appears under Delivery issues at the top of Automations. Check the client's email address, then choose Retry. Open Email delivery to see warnings for a client. A confirmed booking does not prove its email arrived.

Troubleshooting

Start with the symptom that matches what you can see. Check the existing record before repeating a booking, payment or import.

A client did not receive a reminder

Check these first

  • Check that the matching switch is on in Automations and the booking is still confirmed.

  • Check Delivery issues in Automations and the client's Email delivery warnings.

Next step: Correct the email address or setting, then retry the failed delivery. Do not rebook the client just to trigger a new reminder.

A reminder shows the wrong cancellation deadline

Check these first

  • Check the cancellation policy attached to the appointment, class or membership.

  • Check whether the studio lets clients cancel online.

Next step: Update the policy that applies to the booking. Emails sent from then on use the current policy; emails already sent are not changed.

An in-person email has no directions link

Check these first

  • Check that the location has a street address or postcode.

  • Check whether the booking is online rather than in person.

Next step: Add the street address or postcode to the location in Locations. Later emails for in-person bookings there include Get directions.

Answers before you get stuck

Why didn't a client get the reminder before free cancellation ends?

It is for appointments only. It is sent your cancellation window plus 24 hours before the start, so 48 hours before with a 24-hour window. Windows under 12 hours skip it, and so do bookings made after that point. The day-before reminder still goes out.

Can I turn off reminders for the person teaching?

The Starting-soon reminder switch turns off the 2-hour and 30-minute reminders for clients and the person teaching together. The teacher's day-before reminder is always sent.

Do course clients get reminders?

Yes. Clients enrolled in a course get the day-before and starting-soon reminders for each session they are still expected at. They follow the same switches and email wording as class reminders.

Can Junocal remind clients to finish their forms?

Yes. Turn on Unfinished forms and waivers in Automations. It sends up to two reminders for new bookings while forms are incomplete: 24 hours after the request, then 48 hours after the first reminder. It is off by default.
