Write private client notes and share with teammates

Create a private client note, use simple or SOAP templates, complete it and optionally share view-only access with selected teammates.

Quick answer

Client notes starts private to the author. Every note belongs to a client, with optional visit context. Drafts autosave; completion locks the original. Share a completed note with named eligible teammates when a handover needs it.

Before you begin

  • An active owner, administrator or instructor account in the correct business.

  • Permission to access the intended client and, where relevant, the visit or participant.

  • For sharing, a completed note you authored and the names of eligible active teammates.

You'll know it worked when

  • The saved note identifies the intended client, date and any linked visit.

  • Draft save confirmation appears and the completed original is locked.

  • The saved sharing list contains only the intended recipients; unshared notes remain private.

Choose the client and visit

A note is attached to a client, not to everyone who books the same service. For course observations, start from the client profile and describe the relevant session.

    Open the client’s profile and choose to add a private note, or open Client notes and choose Add private note.

    Select the correct client. If you start from a supported appointment or class participant, check the linked visit and attendee.

    Choose a visit date and the note template that fits the work.

Write and complete a note

    Choose a simple note, SOAP note or your own template. SOAP means Subjective, Objective, Assessment and Plan.

    Write the observations and next steps. Wait for the draft’s save confirmation before leaving the page.

    Review the client, visit and wording, then complete the note when it is ready.

    Use a dated update for later corrections or additions. The completed original stays locked.

Share only the completed notes that need it

Recipients find it under Shared with me. They can read the note and later dated updates, but cannot edit, delete, add updates or reshare it. Shared notes are excluded from bulk exports.

Leaving the business or changing to an ineligible role removes the sharing grant. Rejoining does not automatically restore it. Removing access prevents future access in Junocal, but cannot retract text already read or copied.

    Open a completed note you authored and its sharing controls.

    Select the active owners, administrators or instructors in your business who need the context.

    Save the selected people. Check the saved sharing state before telling a colleague it is available.

    Remove a person from the note’s sharing settings when they no longer need access.

Keep forms and notes in their own places

Client forms holds the client’s answers, signatures and photos. Client notes holds your own observations. Use My notes for your writing and Shared with me for colleagues’ shared notes.

Clients do not see these staff-written notes in their booking portal. Other staff, including administrators, do not automatically gain access to your private notes.

SOAP is an optional writing structure. Junocal does not provide insurance billing, HIPAA support or a clinical EHR.

Troubleshooting

Start with the symptom that matches what you can see. Check the existing record before repeating a booking, payment or import.

The teammate is missing from the sharing choices

Check these first

  • Check that they are active in the same business.

  • Confirm they have an eligible owner, administrator or instructor role.

Next step: Use an eligible active account. If someone returns after leaving or a role change, share the note again explicitly; old grants do not revive.

A shared note cannot be edited

Check these first

  • Check whether you are the author or a recipient.

  • Check whether the original note is already completed.

Next step: Recipients have view-only access. The author can add a dated update to a completed note; the original remains locked.

A note is missing from the list

Check these first

  • Switch between My notes and Shared with me.

  • Check the selected client filter, business and whether sharing was removed.

Next step: Open the correct view and client. If access was removed, ask the author to review the sharing decision; do not recreate the note to bypass it.

Answers before you get stuck

Can I share a draft?

No. Complete a note before choosing the teammates who may read it. Drafts remain private.

Can a recipient change or export a shared note?

Recipients cannot edit, delete, add updates or reshare the note. Notes shared with them are excluded from bulk exports.

Can I use notes for a class or course client?

Yes. Every note belongs to a client. Supported appointment and class participant entry points can also link a visit; for courses, start from the client profile.
