Switching from Mindbody to a solo Pilates setup

By Sharon Onyinye8 min read

Short answer

Mindbody is built for multi-instructor studios with 5+ teachers and marketplace exposure (ClassPass, Mindbody consumer app). For solo Pilates teachers, the structure is bigger than the business needs: $129+/month minimum, annual contract, marketplace commissions on app-referred bookings, processing fees bundled rather than direct. Solo teachers typically save $700 to $1,200/year by moving to a solo-shaped tool (Junocal Starter at $39/month, Acuity at $34/month) and gain a monthly contract structure that lets the business breathe. The migration takes 3 to 6 weeks of parallel running; client lists export from Mindbody as CSV, intake responses and booking history don't export cleanly. The right time to leave is when you've decided you don't need marketplace exposure to fill your schedule.

Most solo Pilates teachers on Mindbody arrived there because they worked at a studio that used Mindbody and they kept the muscle memory, or because Mindbody was the default ten years ago and the cost of switching felt larger than the cost of staying. Both reasons made sense once; neither makes sense forever. This post lays out the honest case for and against Mindbody for the solo-teacher shape, the migration path, and the 12-month pricing math.

The broader alternative landscape lives on the Mindbody alternatives for solo Pilates instructors page; the operational case for Junocal in this shape lives on the Junocal for solo reformer Pilates instructors page.

What to consider before the move

Two questions worth answering honestly before the migration:

How much of your booking volume comes through the Mindbody marketplace? ClassPass and the Mindbody consumer app earn their keep only when your schedule has unfilled capacity that the marketplace can move. For solo teachers with stable schedules sourced from regulars, referrals, and a Google Business Profile, marketplace volume is typically a small share and the loss is modest. If marketplace volume is meaningful for your practice, the move planning includes building up direct channels first.

Where are you in your Mindbody annual contract? If you're approaching renewal, the timing is natural. If you're mid-contract with 6+ months remaining, plan the migration for the renewal anniversary so you don't pay out remaining months while running a second tool in parallel.

What you gain on Junocal

Lower monthly cost. Mindbody Starter at $129/month becomes Junocal Starter at $39. Annual subscription saving: $1,080. Plus the recovery from marketplace commission and bundled-processing markup, typically another $200 to $400/year.

No annual contract. Monthly billing with one-click cancel. The structural rigidity of an annual contract is the thing solo teachers most often cite as the reason for finally moving. A solo business should be able to adjust software in months, not years.

Direct Stripe Connect. Your Stripe account, your rates, no markup. On £40k of annual revenue, this is roughly £160 to £320 a year recovered from bundled-processing overhead.

Branded storefront on the entry tier. Both Junocal Starter and Acuity Powerhouse include a branded booking page. Mindbody's branded storefront sits on the Plus or Ultimate tiers ($199+ and $389+). At Mindbody Starter, your booking page is Mindbody-branded.

Conditional intake (Junocal only). If you've been working around Mindbody's flat-field intake by stitching in a separate Jotform or Google Form, Junocal's conditional-logic intake is a single-tool replacement for the two-tool workaround.

The 12-month cost comparison

A solo teacher with £40,000 in annual revenue (US $50,000 equivalent), 12 sessions a week, mix of 1:1 and duets, current Mindbody Starter subscription:

Mindbody Starter annual cost:

  • Subscription: $129/month × 12 = $1,548
  • Mindbody Payments processing markup (~0.5 points over standard): ~$250 on $50k volume
  • Total: $1,798/year

Junocal Starter annual cost:

  • Subscription: $39/month × 12 = $468
  • Stripe Connect Standard at standard rates: $0 markup
  • Total: $468/year

Annual saving moving from Mindbody Starter to Junocal Starter: $1,330/year. Over 5 years: $6,650. The intake depth, branded storefront, automatic late-cancel fee charging, and monthly billing structure all carry forward without additional cost.

The migration path

A 3 to 6-week parallel-run period works for most teachers.

Week 1: Set up the new tool.

  • Sign up for Junocal Starter (14-day free trial, no card) or Acuity Standard.
  • Connect Stripe Connect Standard (Junocal) or Stripe (Acuity).
  • Configure your services with the right prices, deposits, and cancellation policies.
  • Build your intake form (rebuild from scratch; Mindbody's intake doesn't export cleanly).
  • Customise the booking page (branding, photos, copy).

Week 2: Export Mindbody data and import to the new tool.

  • Mindbody → Manager → Reports → Client List Export. Download CSV.
  • New tool → Clients → Import CSV. Upload.
  • Verify the client count matches.
  • Spot-check a handful of clients for correct contact info.

Weeks 3 to 4: Soft launch to existing clients.

  • Email all clients announcing the new booking page. Include the URL.
  • Most clients re-attest the intake on their next booking. Set this expectation in the email.
  • New bookings flow to the new tool; existing Mindbody bookings honour as scheduled.

Weeks 5 to 6: Cancel Mindbody.

  • After all existing Mindbody bookings have been honoured, cancel the Mindbody subscription.
  • Confirm the cancellation timeline with Mindbody support (annual contract cancellation often has a 30 to 60-day notice requirement; account for this earlier in the migration).
  • Mindbody continues read-only after cancellation for a period (typically 60 days) for historical reference. Export anything you might need later within that window.

Total parallel-run cost: one extra month of Mindbody plus zero from the new tool (Junocal's 14-day trial covers the early setup; the first month of Junocal Starter at $39 overlaps with the final month of Mindbody at $129). Worst case: $130 of double-spend during the transition.

What to do about historical bookings and intake

Historical bookings. Stay in Mindbody as read-only reference. Most teachers don't actually need this beyond the first 3 months after migration. Export the booking history report to CSV before the read-only period ends if you want a permanent copy.

Historical intake. Mindbody intake responses don't export cleanly. Two options: (1) leave them in Mindbody's read-only archive and reference manually if needed (sufficient for most cases), or (2) for high-value clients with detailed intake histories, manually copy the most relevant fields into their profile in the new tool. Option 1 covers 95 percent of cases.

Client communication history. Email and SMS history within Mindbody doesn't transfer. New tool starts fresh. The continuity that matters (the client's identity, contact info, and ongoing relationship with you) carries forward; the message-by-message history typically doesn't matter operationally.

The decision framework

Walk through these three questions:

1. What percentage of your bookings come from Mindbody marketplace? Below 10 percent: leave. 10 to 30 percent: assess whether other channels (referrals, Google Business Profile, social) can backfill within 6 to 12 months. Above 30 percent: stay, or plan a 12-month transition that builds replacement channels first.

2. Are you in an annual contract? Yes with 6+ months left: ride it out, migrate at renewal. Yes with less than 6 months: start the migration now, time the cancellation to the renewal date. Monthly or no contract: migrate when you're ready.

3. Does Mindbody's flat-field intake match your needs? For most solo Pilates practices the answer is no — injury-aware programming, postnatal screening, and pelvic-floor work all benefit from conditional-logic intake. Junocal Starter's intake builder is purpose-built for this, with R/L body-part capture, conditional surgery and pregnancy follow-ups, and an e-signature waiver included on the entry tier.

For most solo Pilates teachers on Mindbody Starter who arrived there by default, the answer to all three questions points toward leaving. The migration takes a month; the annual saving compounds for years. a few questions

FAQ

Will I lose my Mindbody marketplace bookings?
Yes. Tools outside Mindbody (Junocal, Acuity, Calendly) do not list on ClassPass or the Mindbody consumer app. For solo teachers whose marketplace bookings are 5 to 15 percent of total bookings (typical), the loss is small enough that the cost savings from leaving Mindbody outweigh it. For teachers whose marketplace bookings are 30+ percent of total, leaving Mindbody requires a serious assessment of whether organic and referral channels can replace that volume.
What about my Mindbody annual contract?
Most Mindbody contracts auto-renew annually with 30 to 60 days' notice required to cancel. You can run a tool in parallel during the final months of the contract and migrate clients gradually so you're not paying for both at the same time. Junocal's 14-day free trial covers the start of the parallel-run period.
Can I import my Mindbody client list?
Yes. Mindbody supports CSV export from Manager → Reports → Client List Export. The CSV includes name, email, phone, and basic demographics. Booking history and intake responses don't export cleanly; treat your Mindbody account as historical reference and start fresh with new bookings on the new tool.
