New in Junocal: client forms, private notes and appointment packs
Short answer
Junocal now supports client forms, photo requests and timing controls across appointments, classes and courses. Private client notes have a separate home, with simple, SOAP and custom templates, autosaved drafts and optional sharing of completed notes with selected teammates. Packs and memberships can cover explicitly selected appointment services. These tools are included on every plan. Growth also brings connected websites, lead follow-up, visual email campaigns, deeper reports and instructor pay preparation. This update explains what to configure and where to find the results.
A client’s answers before a visit and your observations afterwards have different jobs. The latest Junocal updates give both a clear place, with more control over when you ask for information and who can read your notes.
We have also added appointment credit support and expanded the connected tools in Growth. Here is how to use the releases from 20–22 September 2026.
Collect the right form at the right time
Client forms now supports questions, conditional follow-ups, signed waivers and photo requests for appointments, classes and courses.
Open Client forms. Build the content in Questions, then use Where it’s used to choose the services and collection timing:
| Timing | When to use it |
|---|---|
| During booking | You need the information as part of the reservation. |
| After confirmation, before the visit | Clients need time to answer or prepare photos. |
| Manual request | You want to decide when to send the form. |
Set the completion and renewal rules too. A verified client can reuse an eligible response when the form version and your policy allow it, or you can require a fresh response for every booking.
Photos can be JPEG, PNG or WebP, with up to 10 photos, 10 MB each and 50 MB in total per submission. They use private storage and permission-checked links. If a phone photo cannot be converted, the client can save it in a supported format first.
Existing bookings need an explicit request. Adding a form to a service does not quietly email everyone who booked earlier. Review the eligible bookings and request count, then choose to send it.
Find responses without losing the booking context
Open the form’s Responses tab to review submissions. You can also find a response from the client profile or its booking or course enrolment.
For class and course bookings, the response belongs to the participant. That matters when a guardian books for a child or one person books on someone else’s behalf. A course response covers the enrolled participant for the whole course.
Staff access depends on role and eligible clients. Seeing a completion status at reception does not grant access to private answers. Clients see pending requests and completed status in their private booking portal.
Keep your observations in Client notes
Client notes has a separate page from Client forms. Start from a client profile, or from an eligible appointment or class participant when the visit context matters.
Every note belongs to a client. It can also link to a supported booking; it is not attached to everyone who books the same offering. For a course, start from the client profile and describe the relevant session.
Choose the writing structure you need:
- Simple note for observations and next steps.
- SOAP note for Subjective, Objective, Assessment and Plan sections.
- Your own template for a repeatable structure that fits your work.
Drafts autosave. Wait for the saved confirmation before leaving. Completing a note locks the original; later corrections or additions become dated updates. Your templates stay private.
SOAP is an optional structure, not a requirement to use the feature. It does not make Junocal a clinical EHR or add insurance billing or HIPAA support.
Share a completed note with the teammates who need it
Notes start private to their author. Completing one does not share it automatically.
If a colleague needs the context, choose the named active owners, administrators or instructors who may read that completed note. They will find it in Shared with me, while your own writing stays in My notes.
Recipients can read the note and its dated updates. They cannot edit, delete, add updates or share it onward. Shared notes are excluded from bulk exports.
You can remove access. Leaving the business or moving to an ineligible role also removes the sharing grant; rejoining does not restore it automatically. As with any information already seen, removing access cannot retract text someone has read or copied.
Open Client notes or follow the notes and sharing guide.
Let packs and memberships cover selected appointments
Appointment services can now accept eligible pack and membership credits. Choose which appointment services the product covers; existing class coverage does not automatically extend to appointments.
A verified client with a valid balance can use that allowance for an eligible appointment. The appointment draws from the same configured credit allowance, rather than creating a separate appointment balance.
Appointments remain one-to-one. For duets or groups, use a class with the appropriate capacity. Clients paying directly can use full payment or a fixed deposit; Junocal records the remaining balance but does not automatically collect it. Credit coverage also does not create an open-ended recurring appointment series.
Start in Packs & memberships and review the included services before offering the product to clients.
Bring Growth’s website, follow-ups and reports together
Growth connects more of the work around a booking:
- Studio website templates and a connection to a domain you own.
- Lead ownership, saved audiences and automated follow-ups.
- Visual email templates and scheduled campaigns.
- Conversion, attendance and retention reports.
- Instructor pay preparation, approvals, earnings statements and gross-pay exports.
- Class contribution reports and QuickBooks Online connection with reviewed exports.
Growth includes 25,000 marketing emails per calendar month, shared across broadcasts and automated journeys, with up to 10,000 recipients per broadcast. It also includes up to 10 locations and 1,000 Juno requests per month. Marketing messages respect consent and unsubscribe rules.
Domain registration is separate. Pay preparation leaves tax filing and bank payments to your payroll provider or accountant. QuickBooks exports are reviewed, rather than automatic transaction sync.
Compare the plans and included tools.
Where to start
Pick one service and check its form questions, timing and renewal rules. Open a response from a booking so the team knows where to find it. Then create a private note for the client and choose sharing only if someone needs a handover.
If you sell appointment credits, review the services included in each pack or membership before advertising it. The earlier September booking update also explains class pricing choices, pickup extras, guardian bookings and member perks.
FAQ
- Are forms and photos only available for appointments?
- No. Assign them to appointments, classes or courses and choose during-booking, after-confirmation or manual collection. Each class or course participant has their own response context.
- Where do I find booking responses?
- Open Responses on the form, the client profile, or the related booking or course enrolment. Staff access depends on their role and eligible clients.
- Can I keep some notes private and share others?
- Yes. Every note starts private. Once a note is completed, its author can give selected eligible teammates view-only access. Sharing is chosen separately for each note.
- Will existing class packs automatically cover appointments?
- No. Explicitly select the appointment services a pack or membership covers. A verified client with a valid balance can then use the configured allowance for an eligible booking.
- Do these features require Growth?
- Client forms, photos, timing controls, client notes, selected teammate sharing and appointment benefits are included on every plan. Website templates and custom domains, advanced lead follow-up, visual email campaigns and deeper reporting are Growth features.
